Main Responsibilities 

We are looking for a Facilities Co-Ordinator with a responsibility for the day to day support and provision of facilities management across the UK property portfolio.  This is a high profile role, which requires communication to be effective with all levels of management.  The Facilities Administrator must be flexible in their approach and be willing to adapt to meet the ever changing needs of the business.


  • The Facilities Co-Ordinator, will support the facilities function across the UK as a member of the Facilities team they will be responsible for co-ordinating and supporting the team in:
    • Facilities management at all our premises.
    • Liaise with FM Business lead and support in managing key relationships, including: -
      • the landlord (and their staff / agents);
      • site maintenance contractors.
      • external consultants.
      • cleaning/hygiene contractors and any other service providers to our buildings
  • Support in the day to day management of the delivery of services
  • Co-ordinate with supporting effective lease management for the UK portfolio maintaining systems and databases.
  • Support in managing key suppliers and reviewing of invoices relating to facilities with escalation and recommendations to the Head of branch operations for approval as appropriate.
  • Support the management of CAFM and planned and preventative maintenance across the portfolio, along with administrator of the ES Module.
  • Support and co-ordinate monitoring statutory building compliance across the UK portfolio.
  • Support the Leadership team as required.
  • Ensure systems/processes are maintained to the required levels for building security, fire protection and health & safety.
  • Responsible for maintaining a good working knowledge of various areas of commercial. property/facilities management laws/regulations applicable to the Bank.
  • Provide admin support in key suppliers and contracts, (e.g. insurance, Energy, Security, R&M)
  • Provide support to BSQ Facilities as and when directed by Head of FM and Branch Ops. 
  • Responsible for the management of the group e-mail box and FM HUB.
  • Working with the team to ensure the highest level of customer service in FM.
  • Support the Facilities Managers in all facilities operations throughout the UK
  • Provide admin support in security management and improvements across the UK
  • Any other duties as directed by Head of FM, Head of Branch Operations commensurate with the level of the role.
